HDR36 – Candidature and Stipend Extension & Funding Support Application

For Higher Degree by Research Degree Candidates

This form allows you to request the following:

• Stipened Extension

• Domestice and International Candidature Extension 

• Tuition Fee waiver (International Students) 

• Candidature Extension and Tuition Fee waiver (International Students) 

All requests should be submitted 2 - 3 months before your stipend or candidature ends.

International Students

Please be advised that once your stipend payments end, you will be liable for tuition fees, unless you apply and are approved a fee waiver.

If you are submitting a tuition fee waiver - please ensure to submit your request for;

• Semester 1 Fee waivers by February

• Semester 2 Fee waiver by July

All requests for extension to a Research Training Program (RTP) Scholarship, HDR candidature and Fee waivers  will now go to the Research Committee Extensions Working Party.

Please be aware that extensions are usually not permitted unless a candidate can demonstrate that more than two thirds of their research project is complete AND extraordinary events have precluded the candidate from progressing their research.

Also note that all HDR students enrolled on 31 March 2020 have already received a 6-month RTP COVID- extension and no further stipend extensions for those students will be considered unless there are exceptional circumstances.

If students are experiencing delays in their research, they should discuss this with their supervisors, Faculty HDR support staff or the Office of Research and Innovation (ORI) as soon as possible.

• All relevant answers must be completed. Depending on your response to a given answer, additional information may be required. You will be unable to continue until the required answers have been completed.

• Progress on this form can be saved and completed at a later stage.

• When selecting 'save and continue later', a link will be emailed to you, that enables you to return to complete the form.

• Once you have completed the form please  press submit

• Once you have selected "submit" you are no longer able to go back and change your answers.

Workflows:

Workflows have been enabled with this form to facilitate authorisations and signatures as follows:

1. Candidate completes Section 1- submits to Principal Supervisor

2. Principal Supervisor completes Section 2 - submits to Faculty / School administration office

3. Faculty / School administration office completes section 3 – submits to Faculty / School Delegate

4. Faculty / School Delegate completes section 4 – submits to Research Degrees Office

5. Research Degrees Office will put forward request to the next Research Committee Extensions Working Party

6. Candidate will be notified of the outcome following the Research Committee Extensions Working Party.

A copy of the form will be sent to the candidate once the principal supervisor has endorsed.

If the Extensions Working Party Committee approves your application, please contact CDU International Enquiries - International@cdu.edu.au, as you may be required to apply for a new COE.

To be completed only if you are receiving a stipend paid to you fortnightly by Charles Darwin University.

• Please note that scholarships may only be extended for a maximum of six (6) months and cannot be extended past 3.5 FTE years of your candidature.

• Any extensions beyond this are rare and can only be approved due to exceptional circumstances.
  

• If you request an extension over six (6) months/3.5 FTE years, please provide as much evidence as possible to justify your case. ( additional documents can be uploaded to this form, further below, if required)

Please include a  clear, detailed timeline, using the template provided or completed on the form, detailing as precisely as possible the research activities you have completed so far and research activities you still need to undertake.

How to complete the table: 

• Please outline below the steps you have "achieved" and the steps you have left to "achieve".  

• Please note that if you have finished several similar steps, you can group them, e.g., "drafted chapters 1-3". 

• Please include as much detail as possible.

Please be advised that if you have successfully passed your Final Year Review  (FYR) milestone before submitting an extension request, this will add more weight to your extension/fee waiver request.

Completion of FYR requires submitting the documents; including draft thesis and completing the presentation.

This form will then be sent to your principal supervisor to request their endorsement.

Once you have selected "submit", you can no longer go back and change your answers.

All requests for an extension for a Research Training Program (RTP) Scholarship or to HDR candidature will go to the Research Committee Extensions Working Party, which is held every 6-8 weeks.

You will be notified of the outcome following the working party.
